Supply Chain & Procurement Manager Description

To plan, develop and execute the supply chain and procurement management activity for Greenray, including taking ownership of all customer interfaces with respect to the provision of parts and supplier interfaces for the provision of all parts. The role will be responsible for determining the necessary stock levels and will be responsible for material control and allocation.

This key role will be expected to provide a high degree of support for day to day operation of the business and its supply chain development moving forward.

Key Responsibilities & Tasks
  • Managing the business processes for customer enquiries & logging them into the business system, acknowledging receipt & if necessary passing to engineering for spares, workshop and service.
  • Managing the processing of customer’s orders and acknowledgment of orders, including carrying out contract review and requesting risk releases as necessary for all parts including long lead or critical parts as required.
  • Ownership of the customer interface for spares, liaising with customers to give feedback on delivery and any possible issues.
  • Manage day to day office administration.
  • Review and report monthly order position, ensure monthly targets are met, and provide all forecasting and cash flow matching; communicating with the Accounts team where necessary.
  • Work with Sales & Marketing Director to review & create pricing strategies.
  • Negotiating with suppliers to secure the best terms of business (price, CBQ and delivery options); minimizing pro-forma and cash out.
  • Manage stock and stock control for inventory value and stocking policy within authorised limits; including managing the stock take process and periodic checks where necessary.
  • Manage the quote preparation process in conjunction with customer RFQ, RFI and support further with tender preparation using the company business system to ensure data for review is accurate and downloadable
  • Identify potential orders ensuring future stock requirements for high value parts are raised. (Proposing the necessary stock authorisations for manufactured high value parts.)
  • Manage and develop the administration of part set up in line with technical requirements on the company’s business system SMART.
  • Ensure orders are placed in line with Company procedures with pre agreed and approved terms and conditions.
  • Sourcing part quotations and determination of cost and lead time information for all parts, requesting supplier costs and lead times from the appropriate sources.
  • Lead and develop a full and detailed analysis of customer and part pricing history to ensure quotations submitted in in line with pricing policy and customer expectation. Working closely with the sales team to understand the exceptions to ensure they are managed within acceptable margins
  • Working with Engineering department to support and assist suppliers through: -
  • Management of supplier expedition to ensure on time delivery.
  • Working with suppliers directly and the sourcing department to chase requests for quotations, understand supplier on time delivery and feed back to customers on order progress.
  • Identify and work to resolve gaps or potential weaknesses in the Greenray supply chain and assisting in the evaluation and approval of new and existing suppliers at acceptable costs and to appropriate quality standards in conjunction with quality & engineering.
Skills, Education & Experience


Skills & Experience (capabilities & qualities)

  • Experience in UK and Overseas Oil & Gas, Electricity and Utility markets are preferable. Knowledge of customers, suppliers of our parts and understanding pricing issues that affect spare parts is desired.
  • A commercial awareness and knowledge and experience of contract conditions and risk areas for Greenray. Basic understanding of our products and have worked in within a service or manufacturing business before. The person must be capable of understanding our products and discussing with the appropriate engineering departments internally.
  • Capable of operating at management team level, with interactions at a senior/board level with both customers and within the company.
  • Experience in managing spare parts and logistics activities would be highly advantageous. Some UK and international travel maybe required as part of the role.
  • Interpersonal, effective presentation, negotiation, influencing and management skills are essential, as is a positive attitude and an innovative approach to sales and purchasing with the ability to organise effectively. The ability to work as part of a multi-disciplined and flexible team.
  • A formal business qualification or equivalent experience in a service environment. Ideally CIPS level 6.
  • Proficient in using Microsoft Word, Excel, PowerPoint & Project.
  • Full and valid driving license.
  • Knowledge of basic Project Management techniques.
  • Understanding of Contractual Terms and Conditions.
  • Strong organisational skills in order to manage a wide range of projects and tasks, with the ability to prioritise multiple tasks to meet deadlines.
  • Self-motivated and the ability to work confidently under pressure.
  • Strong communication skills with the ability to retrieve information from internal stakeholders and translate their technical language into persuasive business writing with a clear sales agenda. To be able to share relevant information with target audience in a clear, logical and constructive way combined with outstanding writing and editing skills

Education (qualifications & training)

  • A formal business qualification or equivalent experience in a service environment. Ideally CIPS level 6.
  • Proficient in using Microsoft Word, Excel, PowerPoint & Project.
  • Full and valid driving license.
  • Knowledge of basic Project Management techniques.
  • Understanding of Contractual Terms and Conditions.
